This privacy notice relates to Opportunity Bucks Schools Film Competition 2024 and associated events.
We may collect and use the following information about you:
- School/Organisation name
- Named representative/s
- Email address
- Phone number
- Teacher/staff member/adult responsible
- Number of adults and children attending/participating (for events relating to the competition)
- Names, date of birth, age and addresses of children participating.
- Description of your entry
Note: The winning short films created by those entering the competition will be shared in the public domain (online and at the winners’ event in Spring 2024), and images may be taken by the public or the media.
Who provides this information:
We receive all the information from the School or the participant as part of the entry to the competition. Participants and/or their legal guardians will need to consent to providing such information.
We will use your information to:
Efficiently organise the competition and associated events. Provide relevant data to the Child Licensing team to ensure compliance with relevant legislation. Liaise with the school’s named representatives in the run-up to and throughout the competition period; issue invitations and coordinate participation in events and activities to support the schools and students to take part (details to be confirmed, could include an offer of a workshop with a film industry specialist or a National Film and Television School representative for the teachers and/or students) and in relation to the display of pupils’ film entries. Issue information and guidance to support the production of films including information from the Buckinghamshire Film Office in the event of any permissions/specific advice required. Issue invitations and coordinate participation in the competition event to award the winners, and subsequently to organise provision of associated prizes. Notify schools and organisations of any changes to planned workshops and events and competition terms and conditions/guidance, and any other relevant information.

Our legal basis to use the information is to carry out any contract between us (see competition terms and conditions) and/or for legitimate interests in promoting and organising the competition and related events and/or to generate interest and community satisfaction and to comply with the law (Child Licensing, health and safety and insurance and financial regulations).
We may share your information with:
Where applicable, Buckinghamshire Council’s Education and Culture Teams; the individuals and organisations providing the workshops and/or guidance to support schools and students to enter the competition; the organisations organising the display of the entrant’s films; the individuals and organisations providing the competition judging panel; and the organisations providing the awards ceremony and event for the winners.
We may also share your information with other bodies responsible for auditing or administering public funds, and in relation to safeguarding purposes or in connection with the prevention of crime, criminal or legal investigations or proceedings including fraud (and the National Fraud Initiative) or regulatory functions.
We will only use the information we hold about you for the reasons above but if we need to use it for any other reason we will normally tell you.
